People

Find and manage users in your organization.

The Users > People page displays all users in your organization. From here, administrators can add users, edit user profiles, activate or deactivate users, import users and settings, and export reports.

Who can use the People page

  • Users without an administrator role cannot view the People page.

  • Global Admins and Product Admins can manage users, including adding and editing users.

  • System Managers have read-only access to the People page.

  • Global Admins can import users in bulk.

Add user

Users can be added manually, added using an import file (CSV) or may be created by SSO. Your organization can configure Certara Admin so that users cannot be added manually and only created using SSO.

Import

Global Admins can create or update users in bulk instead of editing each profile individually. The Import menu has two options:

  • User profiles: Upload a populated CSV file to create new users or update existing user profiles.

  • Product environment access: Upload a populated CSV file to add product environment access for new users or replace access for existing users. This option can assign roles and licenses.

Download a blank CSV template that includes all supported fields, populate it, and then upload it. During the import steps, you can copy or download a detailed validation report for rows with warnings. Each individual change is recorded in the audit log.

Important: The data in your file creates new users or updates current users. Any data you provide overwrites current data, including blank fields.

User profiles

Each row in the CSV file triggers one of two actions, based on whether the email address already exists in the system:

  • Add: If the email address is not found, the import creates the user, sets all non-blank fields, and sends the user a registration email.

  • Replace: If the email address is found, the import updates the user’s profile. Non-blank fields are set to the new value. Blank fields clear the existing value. If the user account is deactivated, the import still updates the profile data.

You cannot change email addresses using the import.

Import validation

The import window validates the file and shows a summary of successes, warnings, and errors before the import applies changes.

  • File errors: File errors stop the entire import, and the import processes no rows. A file error occurs if columns are missing, out of order, or extra, or if the file cannot be parsed as a valid CSV file. For user profile imports, the message “Upload error, format not allowed.” appears.

  • Row-level warnings: Row warnings skip the affected row, and the import continues processing the rest of the file. Before importing, you can copy or download a detailed report (TXT) that lists each skipped row and the reason the import skipped it.

Export reports

You can export reports from the People page under Export Reports.

  • Grades report: Select a quiz, and then download a CSV file that is the “Gradebook” for users in your organization. The file includes rows only for users who started or completed the quiz.

  • User Audit report: Audits user access to Certara Cloud and supported products. This report is available to Global Admins. For more information, see Understanding the User Audit report.
